Last updated: 30 July 2026. This policy explains how VoiceEmployee collects, uses and protects personal data when you use our website, free live demo and paid AI receptionist service. It is written to align with UK GDPR, EU GDPR and California privacy notice practices (including CCPA/CPRA-style disclosures) where they apply.

VoiceEmployee ("we", "us", "our") provides AI-powered call answering and receptionist services, including a free website demo and paid subscriptions.

We serve customers and visitors in the United Kingdom, Europe, and the United States (and may serve others). If you have questions about this policy or your personal data, email us at the address above.
2. Scope
This policy covers:
- Our marketing website
- The free interactive demo (including sample-agent demos)
- Paid VoiceEmployee services billed through Stripe
If we enter a separate written agreement with you for enterprise or custom services, that agreement may add to or prevail over this policy for that relationship.
3. Information we collect
3.1 Information you provide
- Business or organisation name
- Website URL (for personalised demos)
- Optional contact details: name, email, phone
- Demo preferences (for example use case or voice selection)
- Account, billing and support details when you start a paid plan or contact us
- Content of messages you send to support
3.2 Information collected automatically
- Demo session metadata (status, timestamps, queue position and similar operational data)
- A one-way cryptographic hash of your IP address for abuse prevention (we do not store your raw IP for this purpose)
- Essential browser storage needed to keep your demo session working
- Security signals from bot-protection tools (Cloudflare Turnstile)
3.3 Voice and website content in demos
- Microphone audio is used in real time to power the browser-based voice conversation.VoiceEmployee does not record demo calls.
- Public pages from the website URL you submit may be temporarily crawled to build a short-lived knowledge base for your demo agent.
We do not intentionally collect special-category (sensitive) data. Please do not submit health, financial account secrets, government ID numbers or similar sensitive information through the demo.
4. How we use your data
We use personal data to:
- Provide, secure and improve the website, free demo and paid service
- Create and run temporary demo voice agents and knowledge bases
- Prevent abuse, fraud and overload of shared demo resources
- Respond to support requests and booking or sales enquiries
- Process payments, trials and refunds via Stripe for paid plans
- Meet legal, tax and accounting obligations
- Communicate service-related notices (for example about your account or demo)
We do not use your demo content, call audio or customer data to train our own foundation AI models. We do not use advertising cookies or third-party ad trackers on this site.
5. Lawful bases (UK / EU GDPR)
Where GDPR applies, we rely on:
- Legitimate interests - running a secure demo, preventing abuse, improving reliability
- Contract / steps prior to contract - providing the demo or paid service you request, and processing payments
- Legal obligation - where we must keep records for law or tax
- Consent - where required for optional marketing communications (you may withdraw consent at any time)
6. AI and automated processing
VoiceEmployee uses third-party voice AI systems to hold conversations and answer questions based on limited context (for demos, typically a few pages from your public website or a sample script). Responses are generated automatically and may be incomplete or incorrect. Demo agents are for evaluation only and are not a substitute for human advice or your production systems.
We do not use solely automated decision-making that produces legal or similarly significant effects about you within the meaning of Article 22 UK/EU GDPR.
7. Processors and third parties
We use service providers who process data on our instructions, including:
- HighLevel / LeadConnector - voice AI agents, optional contact records and related telephony/widget infrastructure
- Supabase - application database for demo sessions and operational metadata
- Cloudflare - Turnstile bot protection (and related security/CDN services as configured)
- Stripe - payment processing for trials and paid subscriptions
- Hosting / deployment providers - to serve the website and APIs
These providers act as processors (or independent controllers for their own platform purposes, such as Stripe's payment records). We do not sell your personal information.
9. Retention
- Demo sessions and related contact details submitted with a demo: deleted after 30 days, unless you become a paying customer (in which case customer data is retained as needed to provide the service and meet legal duties).
- Temporary demo knowledge bases and demo agents: deleted when the demo ends or shortly afterward through automated cleanup.
- Billing and transaction records: retained as required by law and for accounting (typically longer than 30 days).
- Support emails: retained as long as needed to resolve your request and for a reasonable follow-up period.
10. International transfers
Some processors may process data in the United States or other countries outside the UK / EEA. Where UK/EU GDPR applies, we rely on appropriate safeguards (such as the UK/EU standard contractual clauses or another lawful transfer mechanism) as required.
11. Security
We use reasonable technical and organisational measures appropriate to the nature of the data, including encrypted transport (HTTPS), access controls on production systems, hashed identifiers for abuse prevention, and short-lived demo resources. No method of transmission or storage is completely secure; please use the service responsibly.
12. Your rights
12.1 UK / EU
Where GDPR applies, you may have rights to access, rectify, erase, restrict or object to processing, and to data portability. Where we rely on consent, you may withdraw it at any time. You may complain to the UK Information Commissioner's Office (ICO) or your local supervisory authority.
12.2 California (CCPA/CPRA-style)
If you are a California resident, you may have rights to know, delete and correct personal information, and to opt out of “sale” or “sharing” for cross-context behavioural advertising. We do not sell personal information and do not use advertising trackers on this site. To exercise rights, email support@voiceemployee.com. We will not discriminate against you for exercising privacy rights.

13. Children
The service is aimed at businesses and professionals. We do not knowingly target children. If you believe a child has provided personal data, contact us and we will take reasonable steps to delete it.
14. Changes
We may update this policy from time to time. The "Last updated" date at the top will change when we do. Continued use of the site or service after an update means you acknowledge the revised policy.
